Questions, answered plainly

Including the ones about commercials and exit that most vendors leave to the contract.

The service

Who does the work?

A named outbound specialist owns your account and runs campaigns inside the IntellReach platform. They build the account criteria with you, maintain the knowledge base, review generated emails, watch deliverability and run the weekly review. The platform does the generation, sending, classification and routing.

Is the specialist full-time on my account?

Your specialist owns your account and runs it every working day. Capacity per specialist is set so that the weekly review and approval work are never rushed; we discuss the exact allocation at the strategy session.

Is this an agency or software?

A managed service run by outbound specialists on our own platform. You get the outcome, and you log into the same workspace the specialist works in.

How long before we see conversations?

It depends on your market and your offer, and we will not put a number on it. What we commit to: account criteria agreed in week one, the first campaign in Approval Mode shortly after, and a written weekly review from the first week onward showing what went out and what came back.

Do you guarantee meetings, pipeline or revenue?

No. We commit to the quality of targeting, research, messaging and follow-up, and to transparent reporting. Results depend on your offer and market, and we will say so on the call.

Can we pause?

Yes. Sequences can be paused per campaign or across the workspace the same day. Parked contacts keep their dates. The notice terms for pausing billing are in the agreement.

Email, channels and guardrails

Do the emails come from your domain or ours?

Yours. We connect to mailboxes you control, warm them if they are new, and send inside per-mailbox daily caps. Replies land in your inbox as well as in the platform.

What stops the AI from sending something wrong?

Three things. Every email is generated from your knowledge base with its sources shown, so there is nothing to make up. Approval Mode lets you require sign-off per campaign before anything sends. And a specialist reviews the first campaign in every new segment before it goes live.

Can we approve every email, permanently?

Yes. Approval Mode is a per-campaign setting with no time limit. Some clients never turn it off for first-touch emails.

What happens when a prospect says they are interested?

The reply is classified, and the whole thread plus the account research is sent to the person you named, in Slack, email or your CRM. Nobody on our side replies to an interested buyer. You take it from there.

What is the turnaround on an interested reply?

Routed the same working day it arrives, usually within the hour during working hours in the recipient's timezone. The route is to a named person; if they are away, to the cover you named.

How do you handle opt-outs and do-not-contact lists?

An opt-out is enforced at the point of send across every campaign in your workspace, not just the one the contact replied to. You can upload exclusion lists (customers, open deals, partners, competitors) and they are checked before every send. This cannot be disabled.

What happens if bounce rate spikes?

The mailbox's campaign pauses at the threshold, the specialist is alerted, and the list is re-validated before anything resumes. You are told the same day.

Do you use LinkedIn?

Where it fits the buyer and is agreed in writing. LinkedIn steps run through seats your team consents to, with conservative daily limits. Automation carries a restriction risk on those accounts; we explain it before anything is connected, and email runs on its own if you would rather not.

Do you use open tracking?

Not on the first step. Open tracking is unreliable and the pixel is what gets email flagged. We measure replies.

Data and security

Where does the contact data come from?

Contacts are sourced against criteria you approve, validated for deliverability before entering a campaign, and de-duplicated across campaigns. We do not buy lists. Everything sits in your workspace.

Who owns the data?

You do. Contacts, exclusion lists, knowledge base, sent history and replies are in a workspace that is yours, isolated per tenant with row-level security.

Is our data used to train models?

No.

How do you connect to our mailboxes?

Through the mail provider's authorisation flow. We hold encrypted tokens, never passwords, and you can revoke them from your provider at any time.

Can our security team review this?

Yes. The full data-handling description, with sub-processors and regions, is shared under NDA, and a specialist will take the call with your security lead.

Commercials and exit

How is pricing set, and why is there no price list?

Pricing has a set-up component and a monthly retainer, with mailbox and data costs passed through at cost. What moves the number is markets, volume and channels. We do not charge per meeting, because a meeting with the wrong person is worth less than nothing to you and we do not want the incentive. The shape is explained on the strategy session; the number follows once we know your situation.

What is the minimum term and notice?

Set out in the agreement we send after the strategy session. We will not quote a number on this page and then change it in the contract.

Can we cancel?

Yes, on the notice in the agreement. Your workspace, contact data, knowledge base and sent history stay accessible to you for export.

What happens to our data on exit?

Exportable for a period after the term ends, then deleted on request. Mailbox tokens are revoked on exit.

Can we run more than one brand?

Yes. Each brand gets its own workspace, fully isolated, with its own exclusion list and knowledge base.

Which markets do you serve?

United States first, with the UK and Europe, India and the Middle East as important regional markets. Send windows follow the contact's timezone; register and opt-out language are set per campaign.

Start with a strategy session

Forty-five minutes with an outbound specialist. Bring your closed-won list and last quarter’s outbound. We will tell you which accounts we would target first, what the first sequence would say, and whether we think IntellReach is a fit. If it is not, we will say so.
